Introduction
smartLibrary is a database that stores a collection of jobs, skills, and trainings. It is a large library being continuously updated—making it a dynamic, market-driven source of information. All job, skill, and training entries are organized into catalogs and can be managed here.
The process of standardizing jobs allows clearly communicate job titles and responsibilities as well as have unified naming for the same positions. In its turn, adding skills to a job in smartLibrary allows accurately reflect the responsibilities within each position. In its turn, the training library brings a rich selection of different trainings for smartPeople users.
Once organized in the main storehouse, this data becomes available and is used within smartPeople. Thus, smartLibrary is a basis for the smartPeople platform.
Libraries
In smartLibrary, there are the following library types:
- a collection of jobs
- a collection of skills
- a collection of trainings
For each collection, a standard library is available. It is the HRForecast library. Being a large job, skill, and training library, it is continuously updated with crawled data.
By default, you can use the HRForecast libraries.
You can neither edit the HRForecast library nor export it.
Once you realize that you need jobs, skills, or trainings which are specific for your company and are not available in the standard libraries, you can create and further use your own libraries of any possible type. It helps you standardize job and skill database by clearly communicating job titles and skills, as well as create your own collection of trainings you can propose to your employees.
Access libraries via the Libraries menu. On the Libraries page, you can find the following tabs:
- Jobs
- Skills
- Trainings
Switching to each tab, you can work with libraries of the corresponding type.
It is possible to view the total number of records available in a job, skill, or training library. This number is displayed above the table presenting records in each library. If you apply filters to the table in a specific library, the number of entries changes accordingly.
You can organize records in the library list to pick out the ones that match your criteria most closely or just to make a large number of records easier to work with by sorting or filtering them or searching for the records you need.
When you decide to manage specific records in a library and select them in the table, you can view the number of selected records on the command bar. Clicking the selected number indicator allows you to deselect those records at a time.
If the library list is too long, you can choose how many records to display per page. In addition, you can use pagination to navigate your library records.
Each smartApp can help you complete definite tasks at every stage of your process. Since all our smartApps communicate with each other, your business and work processes can be done more effectively and efficiently.
The process of working with libraries starts by creating your own job and skill libraries in case you have skills and jobs specific for your company. Otherwise, you can consider our standard HRForecast libraries.
Once you have created your libraries, you need to set up each of them by adding skills, jobs or trainings to it, as well as defining skill profiles, taxonomies, translations, key words, etc. depending on the library type you deal with. To make jobs, skills, and trainings from smartLibrary available in smartPeople, you are now to connect the libraries you need directly in smartPeople. To this end, use the Libraries tab of the Admin area of the application.

Depending on your needs, a process of setting up libraries can differ. We recommend you considering the following list for tasks to perform for setting up your job and skill libraries:
- Add a new skill library to determine your company specific skills.
- Import skills to the newly created skill library.
- Add a new job library.
- Import jobs to the newly created job library.
- Import skill profiles to the newly created job library.
- Connect the skill libraries to the newly created job library.
