Overview
You can add data to your library of training collection by importing. Importing trainings, their taxonomies, names and descriptions in batches allows saving time and effort in administrating the application.
Importing data in batches is recommended to make creating and updating your training collection more efficient and time-saving.
For training libraries, it is possible to import the following data:
-
- Trainings
- Training skills
Now that you have created your own training library, you can fill it with trainings. To this end, use the Import feature.
First, you need to create the XLSX document based on the template. You can download the template from the Training import page.
This XLSX document has a set of fields to be correctly filled in with relevant data. Each field has a description you can get from the input message that appears when you select a cell in the template. Use it to get more information and better understanding about the data to fill in.
The Trainings import template document has mandatory fields. You cannot leave them empty. Otherwise, the import process may fail. With that, it is also recommended to provide data for the rest of the fields.
To define user skills, add a descriptive text to the SKILLS column in your XLSX document with an indication of a proficiency level for each skill, if any.
Otherwise, you can define user skill IDs for each user in the SKILL UID IDS column of your XLSX document.
Before adding skills to your trainings, make sure you have connected a skill library to the training library to which you are importing trainings. If no skill library is connected, the skills you define in the XLSX document will not be added to the training once the import process is complete.
On the Training import page, first select a language. As a result, all the controls become enabled on the page, and you can start the import process.
Specify how you want to add your records by clicking a corresponding button: Add or Replace.
With the Add mode, you can add new trainings as well as update existing ones in the same file.
You can use the Replace mode to add and update jobs as well. All entries that were not specified in the file but are present in the library are deleted from the library. In addition, you can define if you want to delete those entries both from the library and smartApps, where the trainings are used, or delete them only from the current library but keep them in smartApps.
To reverse changes of uploading new data to the system via an import, click the icon within that import record of the Imports table. As a result, all imported data is removed from the system and is not shown in smartLibrary anymore.
If you update existing records via an import, you cannot reverse the changes.
Import reverse is not possible after publishing a library.
One more way to add skills to training skills of your training library is a process of importing training skills.
Importing training skills in batches allows you to import the data for any number of trainings to your library via an Excel file. After import, training skills are automatically assigned to the relevant trainings. This saves you a great deal of time and effort, especially when working with large data sets.
To import training skills to your library, first, you need to create the XLSX document based on the template.
This XLSX document has a set of fields to be correctly filled in with relevant data. Each field has a description you can get from the input message that appears when you select a cell in the template. Use it to get more information and better understanding about the data to fill in.
The template document has one mandatory field. It is Training ID.
Per each training, you can define either training profile skills or training IDs.
To define training skills, add a descriptive text to the Training profile skills column in your XLSX document with an indication of a proficiency level for each skill, if any.
Otherwise, you can define training IDs for each training record in the Training UID IDs column of your XLSX document. Training IDs are available in the smartLibrary application.
-
- To add more than one ID or skill name, we recommend you to add each skill ID or skill name in a separate row. If, for example, you want to add 10 skills per training, you need to have 10 rows in the template for that training.
- To add a proficiency level for each skill, we recommend you to type it after each skill ID or skill name and put it in brackets.

Well done! Now let’s take a deep dive into exporting data from a training library.
