Overview
smartLibrary introduces the Training libraries feature which is in beta.
By using the beta version of training libraries, you can help smartLibrary test its performance improvements, before we release the full set of functionalities.
To manage training libraries, use the Trainings tab of the Libraries page. Here you can add your own training library or use any existing one.
For each collection, one or more standard libraries can be available. You can use these libraries for the purpose of getting information about trainings available there, but you cannot edit the standard libraries.
To start working with a library, first, select it in the Training Library drop-down list.
Now that you have selected a library, you can apply the following actions to it:
- add trainings
- import and export trainings
- manage trainings
- manage library settings
- publish a library
Create library
You can create your own training library to fill it with trainings that are specific namely for your company and are not available in any of the standard libraries.
To add a new training library, follow the steps listed below:
1. On the Libraries page, switch to the Trainings tab.
2. On the command bar, click Library settings, and then click New library.
3. On the New library pane, you can do the following:

- Add a library name.
Here you can define a descriptive name for the library you are creating. - Add active languages.
Here you can define one or multiple languages for the trainings of the current library. - Connect skill libraries.
Here you can define one or multiple skill libraries to connect them to the training library you are creating.
- Add a library name.
4. Once you are done, click Create library.
When setting a training library, you can define possible training types your company proposes. Each such type can be later assigned to each trainings of this library
To manage types, follow the steps listed below:
1. On the command bar, click Library settings, and then click Manage types.
2. In the Manage types pane, first, select a language, in which you want to add trainings types.
3. Under Types, you can see the following types that are already listed:
- Online: On demand
- On-site
These are standard types. You can delete them, if needed.
To add a new training type, first, click the plus sign button or + Add type, and then enter a type name in the field that appears. You can also optionally add a type description. Once you are done, click the confirm icon. Define a type name for each available language.
To edit a type, point to the type record, click the three dots button, then click Edit, edit the type name and description, and then click the confirm icon.
To delete an entry, point to the type record, and then click Delete.
To change the order of existing types, drag a type record to the position you need. The type set at the top record in the list is used as a default type.
4. Once you are done, click Save.
Manage languages
When setting a training library, you can define languages to which you want to translate training metadata.
To manage languages, follow the steps listed below:
1. On the command bar, click Library settings, and then click Manage languages.
2. On the Manage languages pane, you can see a list of active languages.
3. To add a language, click the plus sign icon or + Add language.
In the Add language dialog that appears, select a single language or multiple languages to add to the library by selecting corresponding checkboxes. Once you are done, click Add.
As a result, the list of active languages is updated accordingly.
4. To change the order of language records you have added, drag a language record to the required position in the list.
5. To delete a language, point to that language record, and then click the recycle bin icon.
6. Now that you are done with all your changes, click Save.
All the changes you have made to your training library becomes available in smartApps only after publishing the library.
All the trainings you delete from the library are stored under Deleted entries. To access the list of deleted trainings, on the command bar of the training library page, click Library settings, and then click Show deleted entries.
All trainings deleted from the library are listed here. You can restore or completely delete them. To this end, use the corresponding buttons on the command bar: Restore or Delete in all apps. The buttons become active, once you select at least one training record. You can apply an action to a single record or multiple records at a time.
Be aware that trainings deleted from all smartApps or replaced with new ones will be permanently deleted after publishing the library. You will not be able to restore them. Whereas trainings deleted from the library but kept in the other smartApps will be still listed after publishing the library so you can restore them at any time.
To edit a training library, follow the steps listed below:
- On the Libraries page, switch to the Trainings tab.
- In the Training Library drop-down list, select the library you want to edit.
- On the command bar, click Library settings, and then click Edit library.
- On the Edit library pane, you can do the following changes:
- Edit the training library name.
- Edit connected skill libraries. Connect one or multiple skill libraries if you did not do it while creating the library. Otherwise, you can add more libraries here to connect as well as remove the ones you have previously connected if they are not needed anymore.
- Now that you are done with all your changes, click Update library.
To delete a training library, follow the steps listed below:
- On the command bar, click Library settings, and then click Delete library.
- In the Delete library dialog that appears, enter a name of the library you are deleting, and then click Delete library.
You can delete only libraries previously created in smartLibrary. It is not possible to delete a standard library.
